How We Handle Your Details
The OWL Movement connects Carroll County businesses and nonprofits with local causes. This page says, in plain words, what we collect when you use this site, why, and who sees it.
Last updated October 22, 2026
The Short Version
- We only collect what you type into a form, what it takes to keep the site safe, and a count of how pages get used, which needs no cookies.
- We do not sell or rent your details, and the site runs no advertising or tracking cookies.
- When you sign up to volunteer for an event, or write about one, the event's organizer gets your contact details so they can reach you.
- Other partners only get your contact details when you accept an introduction, or when you and they agree to help on a need, and we decide which introductions to make.
- Email owlmovement2026@gmail.com any time to see, fix or delete what we hold about you.
What You Give Us
Each form asks only for what that job needs.
- Volunteer sign up: your name and contact details, how many people are coming, whether you are a student who needs service hours, and any note.
- Messages, including a message about an event: your name, contact details, your organization if you add one, and what you wrote.
- Partner applications: your organization's name, type, town and website, your name and contact details, and what you can offer.
- Event listings: the event's details and flyer, the group running it, and your name and contact details.
- Giveaway offers: your business, your name and contact details, and the prize.
- Accounts: your name, your email, and your Google sign in if you use it. Everyone signs in with Google or a one time code or link we email them, so there is no password to store. A person or family account also holds your phone and any family members you add.
- Needs and introductions: what is needed, by when and who it is for, and any note you write when you ask to meet another partner.
What the Site Collects on Its Own
- Your IP address, kept for up to a day, so nobody can flood the forms.
- A bot check on public forms from Cloudflare Turnstile. Cloudflare sees technical details such as your IP address and browser to tell a person from a bot.
- Sign in cookies, only if you have an account. One keeps you signed in for up to 30 days. One remembers whether you last signed in with Google or by email on that device, so the sign in page can point you to it.
- How the site gets used: which pages you open, how far you scroll, what you tap and how fast each page loads, so we can keep making it easier to use. This count uses no cookies and never keeps your IP address, so it does not know who you are. When you send a form, we note which page or link brought you. We delete these details after 90 days and keep only daily totals.
How We Use It
- To answer you and follow up.
- To list events, partners and volunteer dates on the site, and to check what is listed.
- To connect people, businesses and nonprofits with local needs, which is what we do.
- To keep the site safe from spam and misuse.
We never use your details for advertising, and we never sell or rent them.
Who Sees Your Details
- Our team. The people who run The OWL Movement read every submission themselves.
- Event organizers. When you sign up to volunteer for an event, or send a message about one, its organizer is emailed your name, email, phone and what you wrote, so they can reach you directly. Once they have it, their own privacy practices apply.
- Everyone, for what is meant to be public. A listed event shows its details, flyer, host name, town and website. A partner shows its name, logo, town and links, plus the business phone and email it chooses to list. Your personal email and phone are never shown on the public site.
- Other partners, only when you agree. Signed in partners see each other's public profiles. Your contact details go to another partner, person or family only after an introduction you accept, or a yes on a need you posted or offered to help with. A person or family's need shows partners only their first name until then.
- Readers of our stories. Stories name and picture the people and groups we have worked with, the same as our Facebook and Instagram posts.
- The services that run the site for us, listed below.
- Anyone the law requires us to tell.
Services That Help Run the Site
- Vercel hosts the site and stores uploaded logos, flyers and photos.
- Neon stores our database.
- Resend sends our emails.
- Cloudflare Turnstile checks forms for bots.
- Google runs Sign in with Google for partner accounts, including the card on the sign in page that offers the Google account already open in your browser, and the calendars our team plans with.
Each one handles your details only to provide its service to us.
How Long We Keep It
We keep submissions and contact details while they help us connect people and follow up, or until you ask us to delete them. IP addresses kept for spam protection are deleted within a day.
Your Choices
- See what we hold about you, or get a copy.
- Fix anything that is wrong.
- Delete your details or your account.
- Be left out of a story, or have a photo of you taken down.
Email owlmovement2026@gmail.com from the address you used with us, and we will take care of it.
Children and Students
This site is not meant for children under 13, and we do not knowingly collect their details. Students under 18 who sign up to volunteer should have a parent or guardian's OK first. If you think a child under 13 has sent us details, email us and we will delete them.
Keeping It Safe
Every page uses an encrypted connection, there are no passwords to steal (sign in links work once and expire within minutes), and only our team can open the full records. No system is perfectly safe, so please do not send anything through the site you would not want shared, such as bank or card details.
Changes to This Policy
When we change how we handle your details, we will update this page and the date at the top.
